…as well as streamlining staff rostering, improving business information and providing enhanced services to customers
- 2 days of admin time saved in payroll department per month
- Strong technical support from SmartTask ensured smooth transition to new system
- Train-the-trainer approach has ensured managers are fully engaged with the new system
“SmartTask promised us partnership, and they were there every step of the way, often above and beyond their promises.” Vince Treadgold, Commercial Director at Greenzest.
Greenzest is a commercial cleaning company that prides itself on putting the greatest priority on the welfare of the planet, its people and partnerships. With a business founded on a corporate sustainability model that sits at the heart of everything the company does, Greenzest aims to truly make a difference through its policies, strategy and operational procedures.
Planet, People, Partnerships, Productivity
The company ethos is based on its four Ps, that balance business purpose with profit. These are Planet, People, Partnerships and Productivity. This approach is a very close match to SmartTask’s own modus operandi as a certified carbon neutral business.
When looking for a new business system to run operations, the team at Greenzest were immediately attracted to SmartTask as it had a good reputation within the cleaning industry, and several of the managers had previously used the system. In addition, SmartTask’s focus on partnering with its customers to develop the best possible solutions and enable customers to achieve the most benefit from the system resonated strongly with Greenzest.
Streamlining operations
The Operations Managers at Greenzest use the SmartTask system to build staff rosters, ensuring that appropriately qualified staff are allocated to each shift, while also ensuring that work/life balance is taken into consideration. Hours worked are collected on-site and the data is passed to payroll.
Here, Giulia Cinque, HR and Payroll Manager at Greenzest takes up the story. “As part of our commitment to our employees we aim to get payroll right first time, every time. There is nothing more damaging to staff morale than paying people either late, or incorrectly.”
Planning and preparing for change
“The team at SmartTask helped us to plan for migrating to the new system. They arranged for me to talk to other customers that were already using the system, and they helped to prepare the data. They provided lots of advice and guidance on how best to set up the system to achieve the business processes we were looking for.”
SmartTask provided ‘train-the-trainer’ training to Giulia, who was then enabled to train and support the managers and supervisors at Greenzest. Based on this, Giulia has developed a guide for managers.
Giulia commented: “At first getting people to change their working practices was a challenge because the new system was quite different. Once the managers tried the system, and discovered how much information was at their fingertips they absolutely loved it because it puts them in control and enables them to manage their teams more efficiently.”
Dramatic time savings
As a result, managers and supervisors at Greenzest have become more organised and the board of directors have a better understanding of the business and services provided to customers.
Giulia reports: “We ran our first payroll using data from the SmartTask software and were able to reduce the associated administration time taken to prepare the data from 3 full days, to just 6 hours. This gives me time back to the business to focus on more proactive HR work.”
Partnership is paramount
While still early days for Greenzest and SmartTask, the next step is already planned, the roll out of the SmartTask app to employees so that they can clock in and out using the app and have more control over their hours and holidays.
In summary, Commercial Director of Greenzest, Vince Treadgold commented: “SmartTask promised us partnership, and they were there every step of the way, often above and beyond their promises.”
